2026 Exhibitor FAQ
Many EVOLUTION exhibitors are competitors, and keeping competitors comfortably apart is one of TEMSA’s top priorities. For that reason, TEMSA assigns every exhibit space directly.
Placement is determined by your sponsorship level and the date we received your payment — so the earlier you’re confirmed, the more flexibility we have.
You’ll find the full floor plan at the bottom of this page. Exhibits line the foyer, which keeps foot traffic steady throughout the day.
Attendees flow naturally across the entire space, so no single location holds an advantage over another. We also spread food and beverage stations across the exhibit area to keep people moving past every booth.
The agenda includes 30-minute exhibit breaks each morning and afternoon on Monday and Tuesday — check the agenda for exact times.
That said, attendees are moving through the foyer all day long, so opportunities to connect aren’t limited to the scheduled breaks.
Absolutely. We encourage you to join the receptions and interact with attendees as much as possible.
Yes! You’re welcome to attend the talks, meet attendees and deepen your understanding of EMS in Texas.
Periodic attendee lists begin going out in late July. Please note that TEMSA maintains a blanket policy of not sharing its members’ email addresses.

No. The hotel keeps the foyer open around the clock so staff can clean the space. Please secure anything valuable — neither TEMSA nor the hotel is responsible for your property.
Set-Up & Take-Down
Set-up begins late Sunday afternoon, September 27 (around 3:30 p.m.). The space stays open all evening, so feel free to set up whenever it’s convenient.
Most exhibitors take down at the end of the day on Tuesday — but if you’d like to keep your exhibit up through the close of the conference on Wednesday morning, you’re welcome to.
How Do I Submit My Attendees?
Beginning in mid-August, TEMSA will reach out to each exhibitor to collect attendee names for name badges. Stay tuned.
- $3,000Exhibitors receive three attendee badges. Additional badges are available for an added cost.
- $5,000Circle of Champions receive six attendee badges.
How Do I Order Electrical?
The hotel handles all electrical orders. Exhibitors are responsible for arranging electrical service directly with the hotel — and for paying the hotel for it.

What Should I Expect When I Arrive?
Each exhibit includes one 6′ × 30″ table with two chairs, ready for you in the foyer.
Your name badges and a copy of the program syllabus will be waiting on your table.
Limited Space
Every exhibit must fit within its 6′ × 30″ footprint. Your backdrop cannot bleed into your neighbor’s space — it cannot exceed six feet in width.
Exhibits are arranged throughout the foyer to keep traffic flowing evenly past every booth. Final placement is assigned by TEMSA.
